How It Works

Our Planning Process From Dream To Reality

Getting All The Major Details Locked in

In this phase, we gather all essential information about your event and establish the coordination framework. Here’s our game plan for setting you up for success:
  • Site visit to walk through the venue with you
  • Create a master timeline so that we can ensure everything happens according to schedule
  • Collect all vendor information and their contact details
  • Be available for unlimited calls, texts, and emails because we’re always here for you
  • Write down who’s participating in the Milni ceremony from both families (for Sikh weddings)

Confirming Everything With Your Vendors

About 2 weeks before your event, we reach out to all your vendors, share our master timeline with them, and confirm all relevant details and logistics so that everyone’s on the same page for your celebration. Here’s how we get everything finalized:
  • Coordinate and confirm all the final details with every vendor
  • Share your master timeline with vendors so everyone knows what’s happening when
  • Handle any last-minute logistics or questions that come up from you or the vendors
  • Finalize every remaining detail with you so that there are zero surprises

FAQ

Frequently asked questions

Here are answers to the most frequently asked questions our team receives about our day-of event coordination.

Putting our obvious bias aside, our answer is “generally, YES!” Many married couples say that a day-of coordinator (or month-of coordinator) was one of the best investments they made for their wedding. This is because it allows the guests and the couple to enjoy the big day as much as possible. Think of a wedding as a giant jigsaw puzzle; a day-of coordinator puts those last several pieces into place to complete the puzzle.

However, we will say that if you’re having an intimate wedding and/or have very involved family members, you may be just fine without a day-of coordinator.

That’s a great question. The premise behind your question is accurate: a group of dedicated family members and friends can certainly do things like confirm details with the vendors before the event, oversee the vendors during the event, manage logistics and guests, and keep the bride and groom well-fed and hydrated.

The benefit of having a team of professionals to take care of all those things is that your loved ones won’t have to take on such stress and mental load, and can just focus on enjoying your special day. Coordinating a wedding and/or reception is very time-consuming, and it’s very difficult to do that AND celebrate your huge life milestone.

The simple answer: we recommend booking as soon as possible! Our availability for 2025 is currently limited, and we’ve already started booking for 2026 and 2027.

We’re totally transparent about all costs upfront so that there are never any surprises. Here is our list of additional fees:

  • Venue research fee: $350
  • Travel fee: $1/mile from Rodeo, CA and a flat rate of $350 for areas 1 hour out of the region
  • Hotel & transportation: Required if the location is greater than 3 hours away, and will be paid for by the client
  • Early morning fee: $150/hour (planning/coordination before 8 AM)
  • Late night fee: $150/hour (planning/coordination after 9 PM)
  • Guest counts over 400 require a 4th coordinator at $550
  • Any additional hours are charged at $75/hour per coordinator
    • Standard hours are 8 AM – 2 PM on the wedding day and 4 PM – 9 PM for the reception or jaggo

We’re based in the Bay Area in California, but we’re available to pack our suitcases and go wherever you need us! We bring our energy and expertise to whichever state or country we go.
For locations further than 3 hours away from the Bay Area, we require that you book transportation and lodging for us.

We understand that circumstances change, and you may need to adjust your event date. If this scenario arises, we will honor your deposit for use on a future date. All deposits are non-refundable.
